What to write in a workplace apology note
A workplace apology note names what you did, says you're sorry, and states the fix, in three sentences or fewer. Don't add excuses or ask for forgiveness in the same breath. If you are unsure, "Quick apology: I got [X] wrong. Sorry. Fixing it now." is the shape to copy.
Five apology messages for the office
I'm sorry I missed the deadline on [X]. That's on me. I've sent the update and will confirm the new timing with you today.
I'm sorry for how I wrote yesterday. The tone wasn't fair. I'll be more careful, and I'm open to talking if you want.
I'm sorry you weren't included on [X]. That was my miss. I've added you and will loop you in going forward.
Quick apology: I got [X] wrong. Sorry. Fixing it now.
I want to apologize for [specific miss]. I understand the impact. Here's what I'm doing to correct it: [fix].

Jump to a situation
Apologize cleanly
Name what you did. Say you're sorry. Note the fix if there is one. Don't demand forgiveness in the same breath, and keep it proportionate; don't write a memoir for a small slip.
Match the channel to the harm: a private issue deserves a private message, and a small slip can be a short Slack.

What not to say in a work apology
These turn an apology into something else.
- “I'm sorry you felt that way”Skips ownership. Apologize for the action, not their reaction.
- Long excuse stacks before the sorryLead with sorry. Context can follow briefly if needed.
- “Let's put this behind us” as a demandThey set the pace. Offer repair; don't order closure.
- CC'ing the world on a private apologyMatch the privacy of the harm. Public theater can re-hurt.
- Humor that punches down on themNot the moment.
After you send it
Don't follow up asking whether it was received or accepted. Do the fix you named. If they reply, thank them briefly. A clean apology followed by changed behavior is what people remember.
Before you send it
- Send it as soon as you know the fix. Delay reads as avoidance.
- Apologize in the same channel where the mistake happened, and in person if it was public.
- Don't copy others in unless they were affected.
